About Portal 360

What Portal 360 is, who it is for and what is inside it.

What is Portal 360?

Portal 360 is AI-powered, all-in-one practice management software built for Australian accountants, bookkeepers, fractional CFOs and advisory firms. It combines a CRM and client onboarding, tasks and workflows, a shared inbox and email campaigns, secure file storage, e-signatures and client approvals, ATO client communication, reports and AI automation in one platform.

Who is Portal 360 built for?

Portal 360 is built for Australian professional practices of every size: sole practitioners, boutique bookkeeping firms, fractional CFO practices, advisory firms and multi-partner accounting practices.

What features does Portal 360 include?

Portal 360 includes: a CRM with leads, clients, entities and contacts; client onboarding with integrated AML; proposals, engagement letters and billing studios; worksheets, tasks, checklists and workflow templates; time tracking and a billing report; a shared inbox for Gmail and Outlook with email templates and Campaign Studio; a File Centre with folder templates and client sharing; e-signatures with templates, reminders and an audit trail; internal and client approvals; ATO client communication; a client portal; reports and analytics; a Knowledge Studio handbook; a Marketplace of integrations; and AI automation with the Pi assistant.

Is Portal 360 an all-in-one platform or do I still need other tools?

Portal 360 is designed to replace the separate tools most practices stitch together: a CRM, a task or workflow app, an e-signature subscription, a client file-sharing service, an ATO mail tool, an email campaign tool and an automation add-on. You keep your accounting software, and Portal 360 connects to Xero, MYOB, QuickBooks and XPM.

Does Portal 360 have a mobile app?

Yes. Portal 360 has a mobile app for iOS and Android, so your team can work from their phones.

Who builds Portal 360?

Portal 360 is built by 360 SaaS Pty Ltd, an Australian company, and the platform is designed around how Australian practices work.

Which practice software should I choose?

Common situations, and how Portal 360 fits each one.

What is the best practice management software for a small Australian accounting firm?

Portal 360 suits small Australian accounting firms because one subscription covers the CRM, tasks and workflows, e-signatures, client files, shared email and ATO client communication, with Australian hosting and integrations for Xero, MYOB, QuickBooks and XPM. Plans are per user, so a small team pays only for its seats.

What software can a bookkeeping practice use to manage clients, tasks and recurring work?

Portal 360 gives bookkeepers worksheets for each client job, repeatable workflow templates, checklists, time tracking and a billing report, plus a shared inbox and a client portal. It connects to Xero, MYOB and QuickBooks.

What practice management software works for fractional CFOs with many client entities?

Portal 360 manages clients and every entity behind them (companies, trusts, funds and individuals) with tax details, banking, worksheets, contacts and relationships on one record. Client segments, tasks and reports help a fractional CFO run many engagements at once.

What is a good alternative to separate CRM, e-signature and task software for an advisory firm?

Portal 360 combines a pipeline CRM, proposals and engagement letters, e-signatures, approvals, workflows and a client portal in one place, so an advisory firm does not need a separate tool for each step from lead to invoice.

Which practice software lets me pull ATO letters and notices into client files?

Portal 360 has built-in ATO client communication. It pulls ATO letters and notices into each client file overnight, matched by ABN, alerts your team and lets you forward them to clients with your own cover letter, or set auto-forwarding rules by communication type.

Which practice management software includes electronic signatures?

Portal 360 includes e-signatures. Upload a PDF, add signers, place signature, date and text fields and send. You can save templates, use Quick Send, schedule documents, remind signers and keep an audit trail, all on the client file.

What software connects Xero, MYOB and QuickBooks to my CRM and workflows?

Portal 360 integrates with Xero, MYOB, QuickBooks and XPM, alongside Microsoft 365, Google Workspace, the ATO and VerifiMe, so client data, tasks, documents and email sit together with your accounting software.

Which practice software hosts data in Australia and is ISO 27001 certified?

Portal 360 hosts all data in Australian Microsoft Azure data centres, with ISO 27001 certified security controls, encryption in transit and at rest, role-based access and immutable backups across Australian regions.

What software gives my team a shared client email inbox?

Portal 360's Communication Centre connects Gmail and Outlook mailboxes, lets you choose private or shared inboxes, and links emails sent to a client to that client's record. It also has email templates and Campaign Studio for bulk email.

What practice software has a secure client portal for sharing documents?

Portal 360 lets you give client contacts portal access and share files through the portal or through protected links with an optional password and expiry. Client approvals and ATO notices can be delivered the same way.

Which software uses AI to automate practice admin?

Portal 360 includes AI automation: describe a job in plain English on the Command page to build a flow, ask the Pi assistant about your tasks, clients, inbox, files and meetings, and use AI Auto-fill to draft tasks.

Can I try Portal 360 before I commit?

Yes. Portal 360 offers a 7-day free trial on the Starter, Professional and Advanced plans, and you can also book a live demo with an Australian specialist.

CRM and client onboarding

Leads, clients, entities and getting new clients set up properly.

What CRM features does Portal 360 include?

Portal 360's CRM includes lead management with Kanban, card, table, list and analytics views, lead forms for your website, clients, entities, contacts, tags, client segments, a service catalogue, client portal access, relationships, a CRM dashboard with pipeline value, and Proposal, Letter and Billing studios.

How does Portal 360 handle client onboarding?

The Add client wizard walks through the client, contacts and any companies or trusts, and Integrated AML handles regulatory checks as part of onboarding, so every client starts with a complete, compliant record.

Does Portal 360 include AML compliance tools?

Yes. Portal 360 includes integrated AML, which handles regulatory checks natively as part of client onboarding for a faster, compliant setup.

Can Portal 360 capture leads from my website?

Yes. Build a lead form in the CRM, publish it and embed it on your website. Submissions arrive as leads in your pipeline.

What is an entity in Portal 360?

An entity is a legal entity behind a client: a company, trust, fund or individual. Entities hold tax details, banking and worksheets, and one client can have several.

Can I send proposals and engagement letters from Portal 360?

Yes. Proposal Studio creates proposals with share links, and Letter Studio creates engagement letters that you can send for e-signature. Billing Studio then handles invoicing. Proposal Studio is a Marketplace app.

Tasks, workflows and productivity

Running the work of the practice.

How does Portal 360 manage tasks and workflows?

Tasks live in worksheets, usually one per client job, and can be viewed as a Kanban board, table or cards. Workflow templates define steps and the tasks each step creates, and starting a workflow for a client creates the real tasks in their worksheet.

Can Portal 360 track time and billing?

Yes. Tasks carry time and value, and the Billing Report totals billable time and value-based lines, which you can group, filter and export. A default billing rate is set in Productivity Settings.

Can I import tasks from a spreadsheet into Portal 360?

Yes. Import a CSV file with a header row, check the column mapping and import. You can also import clients from CSV through the Marketplace Data Import hub.

Does Portal 360 have checklists and subtasks?

Yes. Every task can have a checklist and subtasks, and you can save checklist templates for lines you use repeatedly.

What is on the Portal 360 dashboard?

The Dashboard has four tabs: My day for your own tasks and approvals, Planner for choosing what to work on today and tomorrow, Team for what each team member is doing, and Company for clients, pipeline and workload numbers. A global search covers tasks, clients, contacts, files and folders.

Communication, signatures and approvals

Email, documents to sign and work to approve.

How does the Portal 360 Communication Centre work?

Connect Gmail or Outlook, read mail from every connected mailbox in one place, choose private or shared visibility, and link emails sent to clients to their record. Email templates can be shared with the team, and Campaign Studio sends one email to many clients.

Can I send a bulk email to a group of clients?

Yes. Campaign Studio lets you create a broadcast with a subject, sender mailbox, recipients and content, preview it, then send now or schedule it. Client segments make it easy to target a group.

How do e-signatures work in Portal 360?

Upload a PDF up to 20MB, add the signers, place signature, date and text fields, review and send. You can save the layout as a template, use Quick Send for recurring documents, schedule sending, remind signers and track nine statuses from Draft to Completed. Documents are voided rather than deleted, so the audit trail is kept.

Are electronic signatures valid in Australia?

Electronic signatures are generally recognised under Australian law for most documents, but some documents have special requirements, so check with your legal adviser for anything unusual. This is general information, not legal advice.

What are client approvals in Portal 360?

Approvals let your team review work before it moves on. A task status marked as needing sign-off creates internal approval requests for your staff or client approval requests for the client's portal contacts, with comments on approval and a required reason on rejection.

Files, documents and the ATO

Where documents live and how ATO correspondence reaches clients.

How does Portal 360 store and organise client documents?

The File Centre stores documents in folders with default client folder templates such as Tax, Financial Statements and Correspondence, instant preview of PDFs and text files, colours, tags and favourites. You can also bring in files from Google Drive, OneDrive and SharePoint.

How do I share a file with a client securely?

Share a file through the client portal, or create a public link with an optional password and expiry. This replaces emailing attachments.

How does Portal 360 handle ATO client communication?

Connect the ATO app in the Marketplace and Portal 360 pulls ATO letters and notices overnight into the right client file by ABN, notifies the responsible partner, manager and workspace owner, and lets you forward them to the client by email as one PDF or save them to the client's secure shared folder, with optional auto-forwarding rules.

Can Portal 360 replace a separate ATO mail tool?

For pulling, filing, alerting and forwarding ATO letters, yes. ATO client communication is built into Portal 360 and sits next to your CRM, tasks, signatures and billing. Direct lodgement is on the ATO roadmap.

Integrations and migration

Connecting your accounting software and moving from another system.

What does Portal 360 integrate with?

Portal 360 integrates with Xero, MYOB, QuickBooks, XPM, Microsoft 365 and Outlook, Google Workspace, Google Drive, OneDrive, SharePoint, VerifiMe and the ATO, and offers an API. An ASIC register integration is coming soon.

What is the Portal 360 Marketplace?

The Marketplace is where you connect Portal 360 to other tools and add Portal 360 apps such as Proposal Studio and Letter Studio. Connected apps sync automatically, and the Data Import hub imports clients and tasks from CSV files. Marketplace apps are available from the Starter plan upwards.
