Key takeaways
- Brings Outlook email, shared mailboxes and calendar into the Communication Centre
- Emails link to clients, contacts and entities automatically
- Connects through Microsoft sign-in, with no password stored
Client conversations usually live in Outlook. The Microsoft 365 and Outlook integration brings those emails into Portal 360's Communication Centre and links them to the right client, so there is a complete record without anyone filing emails by hand.
What the integration does
- Unified email management. Work with Outlook emails, folders and attachments inside Portal 360, including Inbox, Sent Items, Archive and Junk.
- Automatic client linking. Emails and attachments are associated with clients, contacts and entities, creating a communication timeline for each relationship.
- Shared mailboxes. Teams can manage shared addresses such as info@ or billing@ from one place.
- Workflow automation. Incoming emails can become tasks, with an owner, priority and due date.
- Attachments. Attachments can be saved to the File Centre and linked to client and entity records.
- Calendar. Calendar sync lets you manage meetings alongside client communication.
It connects through Microsoft Graph APIs and secure OAuth authentication, so Portal 360 does not store your password.
How to connect
- Sign in to Portal 360 and open Communication Center > Email, click Manage beside ALL ACCOUNTS and choose your sync and privacy options, then click Continue.
- Choose Microsoft (Microsoft 365 or Outlook) when prompted.
- Sign in with your Microsoft account. Admin or user accounts can be used depending on your firm's policy.
- Approve the requested access.
- Return to Communication Center > Email and check that your mailbox appears.
Deployment tips
- Decide whether each person connects their own mailbox or whether you use a shared mailbox model.
- Ask staff to send client email from linked accounts so threading stays accurate.
