Practice management software is usually priced per user, but vendors differ in currency, billing period and what is included. Here is how to compare them properly.
Per user, per seat or per practice
- Per user per month: the most common model. Portal 360 is priced this way: A$29, A$49 or A$99 per user per month (ex GST).
- Per seat per year: some vendors quote an annual price per seat. TaxDome, for example, lists its plans per seat per year in US dollars.
- Per practice: some costs, such as migration, are charged once per practice. Portal 360's migration program is A$2,999 per practice (ex GST).
Convert everything to one basis
To compare fairly, convert each quote to the same currency, billing period and number of users. A US$800 per seat per year plan is not directly comparable with an A$29 per user per month plan until you account for exchange rates and billing terms, so do the maths in your own currency.
Check what is included
Look at limits on users, clients, storage and AI use, and which integrations come with each plan. Add-ons can change the real cost: Portal 360 add-ons are priced per account per month, for example XPM sync (A$99) and Verifi-Me (A$29).
Do not forget GST and one-off fees
Check whether prices include GST. Portal 360 prices are in Australian dollars and exclude GST. Also ask about set-up, training and migration fees.
Check the trial and the contract
A free trial lets you test the product before paying. Ask whether the plan is month-to-month or locked in.
