How to Manage an Offshore Accounting Team in One Platform

Timesheets, tasks, review and access for a team spread across time zones. Here is how Australian practices keep offshore staff visible and accountable in Portal 360.

At a glance

  • 1Give every job a worksheet, a workflow template and a checklist, so offshore staff always know the next step.
  • 2Record time on the task as the work happens, then bill from the Billing Report.
  • 3Open the Team tab on the Dashboard to see who is doing what across time zones.
  • 4Use review status for sign-off, and roles and permissions to limit who sees which clients.
You should not have to wait for tomorrow's email to find out what your team did today.

Offshoring part of your practice's work can lower costs and stretch your capacity. It can also leave you guessing. You are asleep when your team in another time zone does the work, so you find out what happened by email the next morning, if at all.

The fix is rarely more meetings. It is a system where the work, the time and the access all live in one place, so you can see what is happening without asking. Here is how to set that up in Portal 360.

Why offshore teams drift

Most problems with an offshore team come from the same four gaps:

  • No shared view of the work. Tasks sit in spreadsheets, chat threads and inboxes, so nobody can say what is due today.
  • Time recorded after the fact. Timesheets filled in on Friday are guesses, and they make billing harder.
  • Unclear review points. Work reaches a client before anyone senior has checked it.
  • Access that grows by accident. People end up with more client data than their job needs.

1. Give every job a home and an owner

Start with the work itself. In Portal 360, each client job is a worksheet, and repeatable jobs run from workflow templates with checklists. When you bring in a new person, whether they sit in Sydney or in Manila, they open the job and see the same steps, in the same order, as everyone else.

That removes most of the "what do I do next?" messages that cross time zones. The instructions are on the task, not in someone's head.

2. Make time part of the work

Timesheets work best when they are not a separate chore. In Portal 360, tasks carry time and value, so the hours are captured where the work happens. The Billing Report then totals billable time and value-based lines, and you can group, filter and export it. A default billing rate is set in Productivity Settings.

For you, that means two things. You can see what a job really costs to deliver, and you can bill from the record instead of from a reconstruction.

3. See the whole team without asking

The Dashboard has four tabs. My day shows each person their own tasks and approvals. Planner helps them choose what to work on today and tomorrow. Team shows what each team member is doing, and Company shows clients, pipeline and workload numbers.

If you manage people in several places, the Team tab is the one to open first thing in your morning. You see who is on what before the first message arrives.

4. Put review in the path

An offshore team does best when review is a step, not a favour. When a task moves into a review status, Portal 360 asks for approval automatically, so a senior person signs off before the work goes any further. Internal approvals and client approvals sit side by side, so the same system tracks both.

5. Control access instead of relying on trust

Good people still should not see everything. Account owners can set roles, permissions and staff groups, and control who can see which clients. Folders carry their own permissions, mailboxes are private by default, and multi-factor authentication and passkeys are available.

Portal 360 is hosted in Australian Microsoft Azure data centres with ISO 27001 certified security controls, so the data stays onshore even when the people using it do not. If your team handles personal information from overseas, it is worth checking your obligations under the Australian Privacy Principles (APP 8 covers disclosing personal information overseas) with your adviser.

6. Keep clients out of the handoff

Clients do not want to hear that their file was "passed to our offshore team". With the client portal, they sign, approve, share files and message in one place, and your clients see one consistent experience whoever did the work behind the scenes. Documents sent for signature keep an audit trail, which is useful when you need to show what happened and when.

A simple weekly rhythm

You do not need a complicated process. Try this for a month:

  1. Monday: open the Team tab and the Planner, and rebalance the week.
  2. Daily: each person starts from My day, and time is recorded on the task as they work.
  3. Wednesday: check items sitting in review status and clear them.
  4. Friday: run the Billing Report and compare time against value for each job.

Start with one team

You do not have to move everyone at once. Pick one offshore team or one service line, set up the workflow template and the permissions, and run it for a few weeks. Portal 360 has a 7-day free trial, and the Professional plan is A$49 per user per month (ex GST).
